Still chasing money you already earned?

The invoice went out three weeks ago. You’ve rewritten the “just checking in” email twice, the card on file expired, and day 30 is quietly becoming day 60. Collect ends the chase — recurring invoices and autopay, card & ACH, estimates, and a client portal under your own brand, plus an AI that does the following-up for you and built-in e-signatures that turn a quote into a signed contract. Flat monthly, no per-invoice fees.

The problem

Getting paid shouldn't be a part-time job.

Run the napkin math: ten open invoices, two follow-ups each, and the half-hour it takes to make every “just checking in” sound friendly — that’s a full workday every month spent asking for money you already earned. Meanwhile the same card gets re-keyed, the autopay list lives in a spreadsheet, and your own bills don’t wait.

And the tools that promise to fix it meter the fix — a cut of every invoice, a fee for every seat, reminders locked behind an upgrade. Collect automates the entire billing cycle and keeps the pricing flat: because Sway handles your processing, the software stays lean, and recurring revenue runs itself instead of eating your margin.

The receipts

You can stop writing those emails. You can.

Titan Contracting owes you $3,200 and it’s day 16 — you know exactly how this goes. You’ll draft the reminder Thursday, soften it twice, and send it Friday hoping it doesn’t land wrong. Look below: the follow-up is already written, in your voice, timed to when Titan usually slips — and Maria got skipped, because Maria always pays. Approve it, or let it run.

What it does

Three things, and they run themselves.

  1. 01 /

    The invoices send themselves.

Schedule billing daily through yearly, auto-email it, and auto-charge the card or bank on file. Payment plans split a balance and retry on their own. Clients can switch on autopay without calling you.

  2. 02 /

    The follow-up writes itself.

AI Smart Collections drafts the chase in your voice, nudges chronic-late payers at the moment they usually slip, skips the clients who always pay, and stops the second the invoice settles. It never charges a card — it just ends the chasing.

  3. 03 /

The quote becomes a signed contract.

Send an estimate, and the client approves and signs from their phone — ESIGN/UETA consent, sealed PDF, Certificate of Completion. Add your card-on-file authorization clause to the contract template and the same signature carries that too, so the job starts sooner and getting paid was agreed to before the work began.

Why this over that

Your other options, priced by what they cost you.

The default

The accounting suite

QuickBooks keeps great books — and its Autopay only works on recurring invoices under $5,000, can’t touch a one-off, and quietly un-enrolls the client when you edit the template. Reminders are a blast switch you can’t aim.

Every limit, documented
The bait

The “free” invoicing app

Free until the features you actually need — automatic reminders, recurring billing — move behind the paywall. And the processing takes its cut of every dollar either way, with a chatbot for support when a payout goes sideways.

The toll booth

The percent-takers

Per-invoice fees, per-seat pricing, a slice of everything you collect. Software priced as a percentage of your revenue is a business partner you never agreed to take on.

Collect is flat monthly with no per-invoice fees — and it pairs with QuickBooks instead of replacing it. The chase itself has a price tag too: what chasing late invoices actually costs you.

Plans

Flat monthly. No per-invoice fees.

Starter is $25, Pro is $59, Premium is $119 — flat, never a percentage of what you collect, and never a per-invoice cut like FreshBooks or Square take.

The one catch — and it’s the whole business model: Collect runs on card & ACH processing via the Optimize Gateway (Fluidpay), typically through Sway. That relationship is why the software stays this cheap, often bundled in entirely. Your processing rates are quoted up front, on your own merchant account.

Technical specs

What you need to know.

Three portals in one

Admin, merchant & client

A master admin console to onboard and manage merchants, a full merchant portal for day-to-day billing, and a client portal plus public pay pages for the people paying you.

Security

Tokenized & legally sound

Card data is tokenized straight to the gateway vault — never stored in the app. Two-factor sign-in, per-merchant isolation, and an activity log. E-signatures meet ESIGN/UETA with a tamper-evident, hash-sealed audit trail.

Delivery & ops

Email, text & reminders

Send invoices and receipts by email or SMS with per-client preferences, automatic due-soon and overdue reminders, and webhook updates when ACH payments settle or return.

Live now

Hosted & ready

Collect runs at billing.swayintegrations.com, multi-merchant from day one, with CSV import for clients and items so you're billing within the hour. Runs on the Optimize Gateway (Fluidpay).

FAQ

Common questions.

How is Collect priced?

Starter is $25/month, Pro is $59/month, and Premium is $119/month — flat, with no per-invoice fees and no percentage of what you collect. The one requirement: Collect runs on processing via the Optimize Gateway (Fluidpay), typically through Sway — that relationship is what keeps the software this cheap, often bundled in entirely. E-signatures are an optional $25/month add-on.

Does Collect really use AI to collect payments?

Yes. Smart Collections reviews your open invoices and drafts the follow-up in your business's voice, then predicts and skips clients who reliably pay while nudging the chronic-late ones at the right moment. You can approve each draft in Review mode or let it run automatically. It only ever sends reminders — it never charges a card.

How do the built-in e-signatures work, and are they legal?

Add a signature requirement to an estimate and your client reads your contract, consents, and signs by typing or drawing. Collect generates a sealed PDF with a Certificate of Completion — timestamps, IP, identity, and a tamper-evident seal — stored on the record. It carries the same legal standing as major e-signature services under the U.S. ESIGN Act and state UETA laws, for a $25/month add-on instead of per-seat pricing.

What payment methods and gateway does it use, and is card data secure?

Collect accepts credit and debit cards and bank (ACH) payments through the Optimize Gateway (Fluidpay). Card data is tokenized straight to the gateway vault and never stored in the app, and Level 2 data is passed to help qualify lower business-card rates.

Does it handle recurring billing and autopay?

Yes — schedule invoices daily through yearly, auto-email them, and optionally auto-charge the saved card or bank account. Payment plans split a balance into installments with automatic retries, and clients can switch on autopay themselves from the portal.

Does it sync with QuickBooks?

Yes. Collect pushes customers, items, invoices, and payments to QuickBooks Online one way, automatically, so your books stay current without double entry.
